Project Administrator, Supply Chain Capital Projects

Location: Newton, North Carolina

Seeking an energetic and detail-driven professional to support our Capital Planning and Industrial Lease Administration functions. This role plays a key part in ensuring our capital project workflows, vendor setup processes, invoice management, and lease documentation are handled accurately, efficiently, and on schedule. The ideal candidate thrives on organization, communication, and cross-functional coordination.

A day in the life as a Project Administrator, Supply Chain Capital Projects...

  • Support the development and ongoing management of the company’s annual capital plan through administrative coordination, document preparation, and data tracking.
  • Process, code, and log invoices related to capital execution, ensuring accuracy and adherence to company policies.
  • Manage vendor setup requests and maintain all related administrative documentation.
  • Prepare monthly reporting on capital expenditures, including project-level summaries and total spend analyses.
  • Maintain organized records of capital projects, invoices, approvals, and financial documentation.
  • Document Management: Open, review, scan, file, and track lease documents, agreements, amendments, and applications, ensuring complete and accessible records.
  • Financial Tracking: Code lease-related invoices, process payments, and run periodic reports in Oracle.
  • Coordination: Serve as a central liaison between internal teams, outsourced service providers, and third-party landlords/vendors to ensure timely information flow and issue resolution.
  • Compliance: Manage business licenses, permits, and other compliance requirements, including renewals and status tracking.
  • Auditing Support: Compile and provide lease documentation, payment history, and contract details requested during internal or external audits.

  • Ability to manage various scope initiatives, orchestrate multiple activities at once, and provide regular updates to Executive Leadership
  • Willingness to learn the business and become a leader in change.
  • Organized and have a proven track record in handling multiple projects simultaneously from conception to implementation.
  • Ability to adapt and integrate new technology in a supply chain setting while recognizing operational necessity.
  • Experience in innovating new processes and adapting new technology in a supply chain setting.
  • Resourceful and results-driven engineer in a highly dynamic environment.
  • Ability to work with cross-functional teams, influencing key stakeholders, and communicate effectively.
  • Must be flexible with schedule and hours to oversee and respond to the needs of a 24/7 operation.
  • Requires travel – typically 5 - 10%

We'd love to hear from you if you have...

  • Bachelor's Degree in Supply Chain Administration or equivalent combination of education and related work experience.
  • 2-5 years of experience in Supply Chain administration role (education will be an acceptable alternative on a 2:1 basis)
  • Experience in administrative support, finance operations, real estate administration, or a related field.
  • Strong organizational skills with the ability to manage multiple deadlines.
  • Familiarity with Oracle or other ERP systems preferred.
  • Excellent communication skills and comfort coordinating across multiple teams.
  • High attention to detail and commitment to accuracy in financial and legal documentation.
