Merchandising Assistant

The Merchandise Coordinator at Hudson Grace is responsible for the complete ownership of product information setup, SKU creation, assortment maintenance, and sample management. The Merchandise Coordinator ensures the timely and accurate execution of SKUs, samples, special projects, and product launches. This role offers support to Merchandising/Planning team along with HG cross-functional teams during key milestones throughout the product life cycle (ie brand photography, ecom pass off, retail floorsets, etc) Partners with PD Coordinator on office management tasks.
This is an on-site position (Monday through Thursday) based out of our Susalito, California office with the flexibility to work remotely on Fridays.
A day in the life as a Merchandising Assistant...
- Product Information & SKU Management:
- Responsible for setting up, maintaining, and managing all product information and SKUs, ensuring data accuracy throughout the product lifecycle.
- Partner with Product Manager & Accounts Payable to onboard and setup new vendors
- Collaborate with Product Merchants and Planning teams to support short- and long-term merchandising projects.
- Work directly with the Digital Coordinator to ensure all necessary product information is provided for e-commerce, supporting successful product launches and online sales initiatives.
- Developing and maintaining accurate merchandising resources, including merchandise lists, pricing tiers, and visual line sheets
- Support pricing updates for seasonal promotions, end-of-life clearance, and other retail adjustments in collaboration with merchandising and planning teams.
- Conduct competitive intelligence to identify opportunities and challenges for in-season business and future seasons.
- Act as secondary point of contact for Customer Service for product questions, concerns, feedback
- Vendor Communication & Collaboration:
- Serve as the liaison between the Merchandising team and vendors, managing sample tracking, and communication to ensure smooth processes.
- Partner with Vendors/Agents for sample tracking and PIB information
- Work with vendors and internal teams to resolve issues related to barcode compliance, and product information.
- Sample Management:
- Act as the point of contact for sample tracking and management, coordinating across teams to request, track, and maintain product samples for brand photography catalog photoshoots and marketing needs.
- Oversee the full cycle of product samples—from requesting and tracking for photography, returning samples, and managing inventory—in collaboration with leadership, creative teams, retail teams, and the distribution center.
- Inventory & Allocations Support:
- Support the Planner by assisting with store allocation requests, inventory control, and cycle counts to maintain accurate stock levels.
- Manage RTV communication/support
- Visual Merchandising Support:
- Provide support as needed to the Head of Visual Merchandising, assisting with floor sets and other visual displays to ensure alignment with product launches and overall brand vision.
- Cross-Functional Support:
- Partner with Product Manager and Planner on Vintage/Found strategy - SKU setup, receiving, allocation, shipping, and transfers
- Provide ad-hoc support for general office tasks, including supply coordination, shipping and receiving of samples, packaging, development products, and special collections such as vintage items.
- Shipping Retail marketing supplies
- Assist in processing and managing both incoming and outgoing samples, ensuring timely delivery and accurate tracking.
- Offer administrative support for office management tasks, ensuring smooth day-to-day operations within the merchandising department.
- Issue Resolution & Data Integrity:
- Address and resolve shipping/receiving discrepancies, collaborating with vendors, distribution centers, and internal teams to ensure timely solutions.
- Maintain data accuracy for all product and purchase order information to support sales tracking, reporting, and promotional activities.

- Proficient in Microsoft Office (especially Excel) and quick to learn merchandising systems.
- A proactive team player who thrives in a fast-paced, dynamic environment.
