Leave Manager

We are seeking a strategic, knowledgeable, and empathetic Leave Manager to oversee and administer our leave of absence programs across the U.S. and Canada. This role will manage the end-to-end leave process—including FMLA, ADA, disability, and state-specific programs—while ensuring compliance and a seamless experience for associates. The Leave Manager will partner with HR Business Partners, Legal, Payroll, and external vendors to support associates from initial leave requests through return-to-work planning. This role requires deep expertise in leave legislation, exceptional service delivery, and experience working with Workday.
Primary Responsibilities:
- Serve as the subject matter expert on all leave of absence programs, providing guidance to associates, managers, and HR partners.
- Manage and administer leave requests (FMLA, ADA, short- and long-term disability, state-specific paid leave, etc.) in partnership with third-party administrators (Aflac).
- Ensure compliance with all applicable laws including FMLA, ADA, NYPFL, USERRA, Pregnancy Discrimination Act and provincial regulations in Canada.
- Lead the interactive process for ADA accommodations, working with associates, managers, medical providers, and legal to determine and monitor reasonable accommodations.
- Oversee and continuously improve leave administration processes, documentation, and communication protocols.
- Collaborate with Payroll to ensure timely and accurate pay adjustments related to leaves.
- Maintain accurate leave data in Workday and support HRIS in optimizing system workflows and reporting capabilities.
- Monitor and analyze leave metrics, trends, and vendor performance; provide insights and reporting to HR leadership and assist in year-end planning.
- Partner with stakeholders including Legal, HR Business Partners, Total Rewards, Facilities, and leadership on escalations and complex leave scenarios.
- Conduct training for HR team members and managers on leave policies, processes, and legal considerations.
- Recommend policy or process changes that enhance compliance, operational efficiency, and associate satisfaction.
Knowledge, Skills, and Abilities:
- HRBP experience preferred.
- Excellent interpersonal, written, and verbal communication skills.
- High level of discretion and professionalism in handling sensitive and confidential information.
- Empathetic, associate-first mindset with a strong commitment to delivering an exceptional associate experience.
Experience Required:
- Bachelor’s degree in Human Resources, Business Administration, or related field; Master’s degree or professional certification (e.g., PHR, SHRM-CP) preferred.
- 5+ years of progressive experience in leave of absence and accommodations management, preferably in a multi-state or multi-country environment.
- Demonstrated expertise in ADA compliance and conducting interactive processes.
- Strong knowledge of leave legislation in the U.S. and Canada.
- Experience using Workday for HRIS and leave administration.
- Prior experience working with third-party leave administrators.
- Proven project management and process improvement capabilities.
